AIntroduction
DUA Pilates & SPA (“DUA”, “we”, “us”) is a Reformer Pilates studio and spa at Rruga Anton Lufi, Komuna e Parisit, Tirana, Albania. We operate:
- the website dua-pilates.com, including the online booking page (dua-pilates.com/book) and the web studio account (dua-pilates.com/app);
- the DUA mobile app for iPhone and Android (app ID
com.duapilatesandspa.app), used by clients and by our instructors, therapists and studio administrators.
DUA decides why and how the personal information described here is processed, and is responsible for it as the data controller.
This policy explains what we collect, why we collect it, which service providers process it for us, how long we keep it, how we protect it, and the rights and choices you have. It applies to everyone who uses our website or app, and to people whose details are given to us when a friend books for them.
BInformation we collect
We only collect what we need to run your account, your bookings and the studio. Depending on how you use DUA, this includes:
Identity and contact details
- Name (first and last name), email address and phone number.
- In the app, email and phone are required to create an account. The web studio account asks for your name, email, phone and a password. The booking page asks for a name and phone number, and an email address is optional.
Account and profile information
- Preferred language, notification preferences (push, email, reminders, waiting list) and whether you want offers and news.
- Account role (client, instructor or therapist, administrator), account status, the date you joined and when you last signed in.
- For staff accounts: the services you teach or give, working hours, availability, time-off requests and the pay arrangement the studio sets.
Authentication information
- App: your email address and the one-time sign-in codes we send to it. Codes are stored only in a keyed, hashed form, never as the code itself.
- Web studio account: your password, stored only as a salted scrypt hash.
- Sign-in sessions: random session tokens, stored on our side only as hashes, together with the time, IP address and device or browser type of the sign-in.
Bookings, memberships and transactions
- Pilates class bookings: the classes you book or cancel, waiting-list places and offers, and attendance (present or absent) marked by the instructor.
- SPA appointments: treatment, therapist, room, date and time, price, and whether it was completed, cancelled or missed.
- Memberships, packages and class credits: what you bought, its terms, validity dates, your credit balance and a ledger of every credit used, refunded, added or expired, SPA treatments included in a package, and any promotion code used.
- Purchase and transaction records: order reference, amounts, discounts, payment method (cash or card at the studio), payment status and refunds. We do not collect card numbers: payment is taken at the studio and no online payment provider is connected to the website or app.
- Booking-page requests: the class or offer you chose, any message you add, and, for offers for two (for example DUA DUO or “bring a friend”), your friend’s name and phone number. Please only give us a friend’s details with their agreement.
- The messages we send you (in the app, by push and by email) and whether you have read them in the app.
Notes kept by the studio
So that our instructors and therapists can look after you, the studio may record short notes on your client record — for example an injury, a condition or a preference that you tell us about. This can include health information, which we only record when you share it with us and which we treat as sensitive. Internal notes are visible only to studio administrators; “service” notes are also visible to the instructors and therapists the studio has allowed to read them. Notes are deleted when your account is deleted.
Device and technical information
- Push notification token: if you allow notifications, the app registers a push token for your device (with the platform, iOS or Android) so we can send booking messages to it.
- Technical logs and error records: our servers and hosting providers record requests (time, the address requested, IP address, response) and errors, so the service can run and problems can be fixed. Sign-in code requests are recorded with the IP address to limit abuse, and important account actions are written to an audit log with the IP address.
- On your device: the app keeps your sign-in token, your language and a copy of your profile in the phone’s secure storage (iOS Keychain / Android Keystore). The website remembers your language in your browser’s local storage; the web studio account uses one sign-in cookie that is needed for it to work.
What we do not collect
- We do not use analytics, advertising or crash-reporting tools in the app or on the website, and we do not use advertising identifiers or tracking cookies.
- We do not collect your location, contacts, photos, camera or microphone.
- Calendar: only when you tap “Add to calendar”, the app asks for calendar permission and writes that class or appointment into your phone’s calendar. Your calendar contents stay on your phone and are not sent to us.
- The studio analytics shown to administrators are totals calculated from our own booking and payment records (for example revenue or class occupancy); no third-party analytics service is involved.
CHow we use information
- Creating and managing your account and keeping your details up to date.
- Authenticating you: sending sign-in codes and email links, and keeping you signed in securely.
- Managing Pilates reservations: bookings, cancellations, the waiting list and attendance.
- Managing SPA appointments: availability, therapist and room allocation, and appointment records.
- Tracking memberships and credits: activating packages, spending and refunding credits under the cancellation rules, and warning you before a package expires.
- Sending booking confirmations, cancellations, waiting-list offers and reminders in the app, by push and by email, according to your notification settings.
- Recording payments made at the studio, orders and refunds, and keeping accounting records.
- Customer support: answering your questions and requests.
- Running the studio: class rosters for instructors, schedules and hours for staff, and totals for administrators.
- Protecting accounts and preventing misuse: rate limits on sign-in, detection of reused sign-in tokens, audit logs and technical logs.
- Improving performance and reliability by looking at server logs and errors.
- Offers and news, only if you have turned this on.
Legal bases
We process personal information because it is necessary to provide the service you asked for (your account, bookings and packages); to meet legal obligations (for example accounting records); for our legitimate interests in running and protecting the studio and its systems; and on the basis of your consent for offers and news, push notifications, the calendar permission and any health information you choose to share. You can withdraw consent at any time; this does not affect processing that already took place.
We do not sell personal information, and we do not use it for advertising or profiling.
DSign-in and email (Resend)
The app uses email-based sign-in without a password. You enter your email address and we email you a 6-digit code. The code is valid for 10 minutes, can be tried at most 5 times, is stored only as a keyed hash and is deleted from our database within two days. A new address that confirms its code is then asked for a name and phone number to create a client account.
The web studio account (dua-pilates.com/app) uses an email address and password, and sends email links to confirm an address and to reset a forgotten password.
We use Resend (Resend, Inc.) to deliver these sign-in codes and links, and our transactional emails: booking and appointment confirmations, cancellations, waiting-list offers, reminders, package expiry notices and messages from the studio. To send an email, Resend receives:
- your email address;
- the content of the email — for example a sign-in code, or the name, date and time of a class or treatment, or package details;
- technical delivery information, such as whether and when the email was delivered.
Resend processes this information to deliver email on our behalf. You can turn off non-essential emails in the app (Profile → Notification preferences); sign-in codes and certain essential booking messages are always sent.
EHosting and databases
- Railway (Railway Corporation) hosts the server (API) the mobile app talks to, its background jobs and its PostgreSQL database, in Railway’s European region in the Netherlands.
- Vercel (Vercel Inc.) hosts the website, the booking page, the web studio account and its server functions.
- The website’s booking and web account records are stored in a managed PostgreSQL database connected through Vercel’s storage integration (Neon).
These providers store and process personal information only so that the website and app can run. Within DUA, only authorised people can see client information, and only to the extent their role needs: administrators manage clients, bookings and payments; instructors and therapists see the people booked into their classes and appointments.
FThird-party service providers
We share personal information with the following providers only as needed to operate DUA. They process it on our behalf, or — for app stores and messaging apps — under their own terms when you use them.
All app data described in this policy: account, profile, bookings, appointments, packages, payments, notes, notifications, push tokens, logs.
Website requests and logs (including IP address), booking-page requests and web account data passing through its servers.
Booking-page requests and web studio account data: name, email, phone, password hash, bookings, memberships.
Email address, email content (sign-in codes, booking details), delivery status.
Your device’s push token and the title and text of each notification.
Push messages are delivered through Apple Push Notification service and Google Firebase Cloud Messaging. App downloads are handled by the App Store and Google Play under their own privacy policies.
The map on our home page is loaded from Google, which receives your IP address and browser information and may set its own cookies when the map loads.
If you message us on WhatsApp or Instagram, Meta processes that conversation under its own terms.
We may also disclose information when the law requires it (for example to a court or a competent authority), to protect the rights and safety of our clients, staff or studio, or to a successor if the studio’s business is transferred, in which case this policy will continue to apply.
GData storage and security
We use technical and organisational measures appropriate to the information we hold, including:
- encrypted connections (HTTPS/TLS) between the app or browser and our servers;
- sign-in codes and passwords stored only as hashes; session tokens stored only as hashes;
- short-lived app access tokens (15 minutes) and sign-in tokens that change on every use, with automatic sign-out of every device if a copied token is detected;
- the app’s sign-in token kept in the phone’s secure storage (Keychain / Keystore); the website’s sign-in cookie marked HttpOnly and Secure;
- role-based access, so each person only sees what their role needs;
- limits on repeated sign-in attempts, and an audit log of important account and administrative actions;
- separate development and production systems, with test accounts that only work in development.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach that affects your personal information, we will act on it and notify you and the authorities where the law requires.
HData retention
We keep personal information only for as long as we need it for the purposes above, or as long as the law requires.
| Information | How long |
|---|---|
| Account and profile | While your account is open, until it is deleted. |

| Studio notes | Until the studio removes them, or your account is deleted. |
| App sign-in codes | Valid for 10 minutes; deleted within 2 days. |
| App sign-in sessions (incl. IP and device type) | Up to 30 days; deleted when they expire, or 30 days after you sign out. |
| Website sessions and email links | Sessions last up to 30 days and are deleted after they expire. Password-reset links work for one hour; email links are deleted 7 days after they expire. |

IYour rights
Under Albanian data protection law (Law No. 124/2024 “On personal data protection”) and, where they apply to you, other laws such as the EU General Data Protection Regulation, you have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate or incomplete information — you can change your name and phone in the app under Profile → My details; to change your email address, contact us;
- delete your account and eligible personal information (see Account deletion);
- restrict or object to certain processing, including processing based on our legitimate interests;
- data portability: receive the information you gave us in a structured, commonly used format;
- withdraw consent at any time, where processing is based on consent;
- complain to the Albanian supervisory authority, the Commissioner for the Right to Information and Personal Data Protection (idp.al).
Marketing and notifications
Offers and news are off unless you turn them on. You can change this, and turn push or email notifications on or off, at any time in the app under Profile → Notification preferences, or in your phone’s settings. Essential messages about your bookings always appear in the app.
To exercise any of these rights, contact us using the details in Contact us. We may need to confirm your identity first, and we will answer within the time the law allows.
JAccount deletion
You can ask us to delete your DUA account and associated personal data at any time.
- In the app: Profile → Request account deletion → Confirm. You are signed out on every device and your push tokens are removed straight away.
- Without the app: call or message us on WhatsApp at +355 69 710 4072, send a direct message to @dua_pilates_spa on Instagram, or ask at the studio. This is also how to ask for deletion of booking-page or web account data.
We complete deletion within 7 days of receiving the request. Your name, email address and phone number are removed from the account, studio notes about you are deleted, and you can no longer sign in to it.
What we keep: records we need for legal, accounting, fraud-prevention or dispute purposes — orders, payments, refunds, purchased packages and their credit ledger, bookings, appointments and attendance, the history of messages sent to you, and audit-log entries — are kept in de-identified form, no longer linked to your name, email or phone. Any unused credits or packages can no longer be used after deletion, so please talk to us first if you have an active package.
Full instructions are on our account deletion page.
KChildren’s privacy
The DUA app and our online accounts are intended for people aged 16 and over. They are not directed at children under 16, and we do not knowingly collect personal information from them. If you believe a child under 16 has created an account or given us personal information, contact us and we will delete it.
LInternational data processing
DUA is based in Albania. The app’s server and database are hosted by Railway in the European Union (the Netherlands). Vercel, Resend and Expo are companies based in the United States, and they, Neon, Apple and Google may process personal information in the United States and other countries where they or their sub-processors operate.
When personal information is transferred outside Albania, we rely on the safeguards permitted by Albanian law, such as transfers to countries recognised as offering adequate protection and the providers’ data-processing terms.
MChanges to this policy
We will update this policy when our services or the law change. The date at the top shows when it was last updated. If we make a significant change, we will tell you in the app or by email before it takes effect.
